ADMINISTRATIVE OFFICER AT THE MYKOLAIV EMBASSY OFFICE

The Embassy of Denmark to Ukraine is now hiring an experienced and service-minded colleague with strong administrative skills and a pragmatic approach to join our team as Admin Officer at the Danish Embassy Office in Mykolaiv. You will work closely with colleagues from different teams at the Embassy, Danish and Ukrainian authorities and companies, as well as international partners and organisations. 


You will be working physically at the Royal Danish Embassy Office in the centre of Mykolaiv. We offer a friendly and respectful working environment with good opportunities for professional development. 

Your tasks and responsibilities will include:

  • Provision of competent and timely assistance to the general professional administration of the Danish Embassy Office in Mykolaiv.
  • Development and maintenance of collaborative relationships with Ukrainian and Danish authorities as well as international partners and other stakeholders working in and with Mykolaiv city and region.
  • Set up and participate in meetings with Ukrainian companies, organisations and authorities in relation to the Mykolaiv-Denmark Partnership and private sector cooperation. 
  • Help arrange and participate in project site visits in different parts of Mykolaiv region and occasionally across Ukraine. Some travelling, including to Kyiv and to Denmark, is thus to be expected. 
  • Participate in meetings with stakeholders with contribution to translation and writing of minutes, as well as contributing to Embassy briefings;
  • Assistance with organisation of the Embassy Office’s travel arrangements, meetings, visits of Danish delegations etc. 
  • Support to Embassy social media and website.
  • Assistance to other Embassy administrative tasks.
  • Other tasks may be assigned in dialogue with management and depending on qualifications of the successful candidate.

Professional qualifications:

  • Professional integrity and sound judgment in consequential decisions.
  • Ability to maintain confidentiality and discretion.
  • Ability to interact with people of different backgrounds in a polite and friendly manner.
  • Experience in administration of a public or private organization is a must.
  • Flexibility and ability to cooperate within and outside of one’s team.
  • Strong English and Ukrainian, spoken and written language, including translation skills.
  • Working experience from a government body, an international organisation, a consultancy firm or an embassy, preferably within fields related to business and development is an advantage.
  • Relevant university degree is an advantage.
  • Experience with public communications and/or social media is an advantage.

  • Pragmatism and positive attitude.

Starting Date

2nd of January 2025 or as soon as possible thereafter. Employment requires security clearance from the Danish authorities. The applicant should be eligible for working in Ukraine, i.e. be a Ukrainian national or have a valid Ukrainian work permit. A competitive salary package will be provided according to qualifications.
